At GroveSite, we respect and protect the privacy of those who visit our company website and of our clients who use GroveSite
to streamline and accelerate project/team/group communications. We will never share your personally identifiable information,
nor that of your group members, with any third parties or send you unsolicited communications.
Grovesite is a licensee of the TRUSTe Privacy Program. TRUSTe is an independent, organization whose mission
is to build user’s trust and confidence in the Internet by promoting the use of fair information practices.
This privacy statement covers the Web site www.grovesite.com. Because this Web site wants to demonstrate
its commitment to your privacy, it has agreed to disclose its information practices and have its privacy practices
reviewed for compliance by TRUSTe.
GroveSite Privacy Policy
GroveSite operates the GroveSite Platform, which includes hardware, proprietary software, the www.grovesite.com website, user documentation and related support services.
Companies or organizations or individuals ("Customers") register for an account with GroveSite, and are granted a license to use the GroveSite Platform to
define and operate access-controlled, collaborative websites for their working groups. These Customer-defined, GroveSite-powered and hosted websites are referred to
as "GS Websites." Customer then enrolls members ("Enrolled Users") of their group in their GS Website, using the members' email address.
Customers and their Enrolled Users add Content (text, images, files, discussion postings, personally identifiable information) to their GS Websites.
This Privacy Policy is organized as follows:

I. Notice of Our Information Collection and Use Practices
a. Visitors to www.grovesite.com:
Personally identifiable information is
collected if a visitor uses the Submit Feedback feature. We collect the Enrolled User's email address and other submitted information (including URL information to determine what web page or function they were using) to investigate and respond. We do not share this information with any third parties.
b. Organization information: GroveSite collects information via an offline (phone) registration process about the Customer organization and about the individuals deemed "Payer" and "Organization Administrator," who are key points of communication between Customer and GroveSite. We do not share this information with any third parties, except as required to process payments. This information includes the following:
i. Payer Name, Title, Phone, Email Address, Mailing Address
ii. Organization Name, Country of primary residence, Intended use, Preference on receiving marketing or other non-critical communications from GroveSite.
iii. Billing Information: Credit card information (name, expiration, billing address), billing address for customers using purchase orders, and the Usage Plan selected by the Payer for billing.
iv. Name and Email Address of Organization Administrator
c. Personally identifiable information of Enrolled Users: Customer
Organizations use a person's email address to enroll him/her in their GS Website.
Customer Organizations may, optionally, enter First Name, Last Name, Title, and Company Name.
GroveSite sends the Enrolled User a welcoming email with his/her ID (email address) and
password. Once an Enrolled User logs in to the GS Website, he/she may use the "My
Info" page to 'hide' any display of email address (though we discourage this because
GS Websites are used to enhance group collaboration), change password, change Display Name,
and add/edit/remove First Name, Last Name, Title, Company, Phone, Bio, and Picture (see
Sections III and IV). We do not share personally identifiable information with any third
parties.
d. Content placed on GS Websites: "Content" includes all information Customers or their Enrolled Users place in their GS Website (such as text, images, documents, files, discussion postings, personally identifiable information of Enrolled Users).
i. The GroveSite Platform gives Customers the ability to set a security level for each page in their GS Website. Content is not publicly available for view unless Customer has defined pages of their GS Website with a security level of "anonymous." GroveSite encourages its Customers to exercise caution when setting the security level of each page in their GS Website.
ii. GroveSite will not access nor view Content except (1) as required to resolve a customer service or technical support issue, (2) in a review of Customer GS Websites for adherence to our Acceptable Use Policy, or (3) to comply with any legal process. GroveSite will treat the Content as confidential unless otherwise required by the AUP or legal process.
iii. GroveSite will not share Content with any third parties.
e. Trial GS Websites: We collect Organization information, per IIb above, with the exception of billing information. We may use this information to contact trial Customer, via email or phone, to discuss the trial and whether the trial Customer is ready to register for an account. Personally identifiable information is also collected as trial Customer enrolls Enrolled Users. We do not share this information with any third parties.
f. GroveSite's marketing email list:
i. Individuals
who wish to receive GroveSite news may
voluntarily join our marketing email list
through www.grovesite.com.
Individuals must enter First Name, Last Name
and Email Address to join the list.
Optionally, they may also enter Title,
Company, Phone, Business, and how they
learned about GroveSite. They indicate
Preferences re (1) receiving a phone call
from GroveSite staff and (2) receiving email
from GroveSite about our partners' product
offerings. This information is solely for
GroveSite use; we do not share this
information with any third parties.
ii. Individuals may
unsubscribe to the email list by (1) replying to any
GroveSite email communication and typing UNSUBSCRIBE in
the subject field, (2) sending mail to our physical
address, or (3) sending email to
customerservice@grovesite.com. Individuals
may change their Preferences by sending email to
customerservice@grovesite.com.
g. Aggregate information: Aggregate information is information that cannot be linked to Enrolled Users personally (e.g. statistics on number of visitors and usage of various parts of www.grovesite.com or GS Websites). GroveSite may use and share this information for business purposes.
h. GS Website Usage: GroveSite tracks usage of all Customer GS Websites by collecting information regarding access (page/user/time), frequency of use, data storage requirements and so forth. We use this information in order to calculate Customers' monthly bills. We may use this information to assess whether GS Websites are still active, or which GroveSite features are most frequently used by particular Customers.
i. Communications:
i. Service Alerts and Critical Operating Information: We use Organization information and Enrolled User information to contact users via email
about service alerts and other critical operating information. We may communicate critical information
via a message display upon login as well. Service alerts are necessary as part of the GroveSite services and as such, users are
not able to opt-out of receiving these email communications.
ii. Billing: We use Organization information and GS Website Usage information to calculate and transmit bills to our Customers.
iii. Customer Support: We use Enrolled Users' email address, name and telephone number to respond to email or phone queries to Customer Service or Technical Support.
iv. Feedback: When Enrolled Users submit a query or report a bug through the Submit Feedback form, we use their email address and other submitted information (including URL information to determine what GS Website function they were attempting to perform) to investigate and respond.
v. Non-critical information: Non-critical information, such as news of new GroveSite services or GroveSite newsletters, will only be transmitted to the Customer's Payer and Organization Administrator. If these individuals believe the information to be valuable to their Enrolled Users, they can distribute it via the "Broadcast Email" function.
vi. Marketing information: We use the Email
Address of those individuals who have
voluntarily joined our marketing email list
to send them news about GroveSite features,
products, case studies or other relevant
industry events. This email communication
occurs approximately once every 4 - 6 weeks.
j. Service Providers: When we employ or work with service providers, such as consultants, temporary workers, hosting companies or other outsourcers, we may need to share information. Service providers are strictly prohibited from using Organization information, personally identifiable information or Content for purposes other than to act on our behalf.
k. Customer Testimonials: We post customer testimonials on our web site which may contain personally identifiable information such as the customer's name. We do obtain the customer's consent prior to posting the testimonial to post their name along with their testimonial.
l. Disclosure for Legal Purposes: We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or comply with a judicial proceeding, court order, or legal process served on our web site.
m. Change of Control: Organization information, Personally-identifiable information of Enrolled Users, and Content may be transferred in connection with a sale, merger, or other disposition of GroveSite. In the event of a transfer of GroveSite to a third party, we will provide 30 days advance notice to Customers. Customer consents to the transfer of its information to that third party for the purpose of enabling the third party to continue to provide service. If Customer does not consent, GroveSite may be required to disable Customer's GS Websites.
n. Changes to our Privacy Policy: GroveSite may change its Privacy Policy from time to time by posting updated policies to www.grovesite.com. We will provide 30 days advance notice via email of any material changes in the use of Organization information or Content via email to Payers and Organization Administrators. We will send 30 days advance notice via email to all Enrolled Users if we expand the way in which we use Personally identifiable information. If any Enrolled User does not consent, they must contact their Customer organization to be removed from membership in their GS Website(s).
II. How and why we use web technologies
a. Cookies: A cookie is a small piece of information that the GroveSite Platform may provide to your browser while you are using a GS Website. The cookie contains a unique identifier used to authenticate Enrolled Users. Most browsers are defaulted to accept and maintain cookies. Users' browsers must have "session" or "transient" cookies enabled to login.
b. Usage Data: The GroveSite Platform keeps track of usage data, such as an Enrolled User's IP address or domain name, the date and time of the page request, and other parameters in the URL. This information is used to calculate billing and help diagnose technical problems, and is used in the aggregate to help us understand overall usage of the GroveSite Platform.
We do not automatically correlate personally
identifiable information to these logs.
III. Choices About Display and Use of Enrolled Users' Personally Identifiable Information
a. An Enrolled User must provide their Email Address to the Customer organization in order to be enrolled in a GS Website. Enrolled Users may use the "My Info" page to select the option to "hide" display of their email address. We discourage this practice because it hinders the collaborative nature of the GS Website.
b. Display Name is also required. The GroveSite Platform creates a Display Name, using First Name and Last Name (if entered during Enrollment). If First Name and Last Name are not entered, we use the first portion of the email address (letters preceding "@") for the Display Name. Enrolled Users may change their Display Name using the "My Info" page.
c. Enrolled Users may enter information for any of the optional information fields: First Name, Last Name, Title, Company, Phone, Bio, and Picture. Any information entered will then be available for display.
d. Communications for Feedback: If an Enrolled User submits a question to Customer Service via the "Submit Feedback" email form or through the Customer Service email address, we use the Enrolled Users email address and other information on the form to respond to the question.
e. GroveSite may, from time to time, send email to Enrolled Users notifying them of critical operating or administrative information, such as additional scheduled downtime or other service interruption.
Service alerts are necessary as part of the GroveSite services and as such, users are
not able to opt-out of receiving these email communications.
IV. Opportunities for Enrolled Users to update personally identifiable information
a. Enrolled Users may, at their first login or at any other time they are logged in, use the "My Info" page to update their personally-identifiable information (see Section III).
V. How we work to protect personally identifiable information from loss, misuse, or unauthorized alteration
a. We use industry standard security safeguards to help protect the personally identifiable information that you have provided to us from loss, misuse, or unauthorized alteration.
b. Information stored on the GroveSite Platform servers are protected from unauthorized access using industry standard computer security products, such as firewalls, as well as carefully developed security procedures and practices.
