Manage Page Security Exceptions

Overview

GroveSite provides many options for you to control who can see each page, and who can both see and update a page. Each page has a Default Page Security Setting. Please see Add New Pages for a detailed description of the four basic settings:

  • Anonymous visitors can see this page
  • Participants can see this page
  • Participants can see and update this page
  • Only moderators/administrators can see this page

If you need to define page security by individual, you may use GroveSite's Page Security Exceptions feature.

Vendor Quotations Example:
Suppose you established a site to share general product design requirements with a group of potential manufacturing vendors, and you'd like each vendor to upload photos and quotes of products that meet your requirements. Of course, each vendor should be able to see the requirements information and files you posted, but each vendor should NOT be able to see other vendors' uploaded quotations.

First, enroll your team as Site Administrators and Moderators, so that you can see/edit information on all pages. Enroll your vendors as Participants.

Let's assume you have put your requirements information on a group of pages with Page Security = Participants can see this page. Everybody can see these pages.

Next, add a page, perhaps a File Library or Custom Database page, for each vendor. Use Page Security = "Only moderators/administrators can see this page". For each vendor page, use GroveSite's Participant Page Security Exceptions feature to allow just the one or more enrollees who should see a particular vendor page to 'See and Update.'


How to set Participant Page Security Exceptions

Step 1: Click Administration

Step 2: Click Manage Page Security. A screen will appear that has a left and right side. On the left side is a list of all the pages in your site, and each page's Default Page Security Setting. (You can modify any of these if you like and click Save.) On the right, initially, is a list of all site enrollees.

Step 3: Suppose you want to set exceptions so each vendor's Participant-level enrollee can only access his/her vendor page. Just click the appropriate [edit] under Exceptions-Part on the left side of your screen.

The right side of your screen changes to list all those enrolled as Participants in your site. Set Exceptions by selecting a different security setting for any individual(s) in the right side of your screen and click Save. This changes the setting for your selected page only.

How to set Moderator Page Security Exceptions

Normally, people who are enrolled as a Moderator have widespread information add/edit/delete privilages on any page of the site. However, when there are occasions where you would like to control what pages an individual Moderator enrollee can access, use GroveSite's Moderator Page Security Exceptions feature.

Step 1: Click Administration

Step 2: Click Manage Page Security. A screen will appear that has a left and right side. On the left side is a list of all the pages in your site, and each page's Default Page Security Setting. (You can modify any of these if you like and click Save.) On the right, initially, is a list of all site enrollees.

Step 3: Suppose you want to exclude a particular individual, who is a Moderator, from seeing a particular page. On the left side of your screen, click the appropriate [edit] link under the Exceptions-Mod column.

The right side of your screen changes to list all those enrolled as Moderators in your site. For each person, you have two options: Access or No Access. Set Exceptions by selecting a different security setting in the right side of your screen and click Save. This changes the setting for your selected page only.
